Dietary-Friendly Catering: How to Include Everyone at the Table
Making Every Guest Feel Welcome: Inclusive Catering for Life’s Biggest Celebrations
There’s a particular kind of stress that comes with planning a celebration, not the venue, not the playlist, but the moment you realise your guest list includes someone who’s coeliac, a cousin who’s vegan, a friend with a severe nut allergy, and your uncle who simply won’t eat anything “too adventurous.” Sound familiar?
Whether you’re organising a wedding, an engagement party, a milestone birthday or an intimate anniversary dinner at home, food sits right at the heart of the occasion. And when guests feel genuinely considered, when they’re not picking at a sad side salad while everyone else enjoys the main spread, it changes the entire mood of an event.
At Black Truffle Catering, we believe that inclusive menus aren’t an afterthought. They’re part of what makes a celebration feel complete.
Why Dietary-Inclusive Catering Matters More Than Ever
A decade ago, asking about dietary requirements might have drawn a blank stare from half your guest list. Today, it’s a standard question on any RSVP, and for good reason. Food intolerances, allergies and lifestyle choices are increasingly common, and they’re not things your guests should have to worry about on a night that’s meant to be about enjoyment.
When we cater weddings, engagements, birthdays and family functions, one of the first conversations we have with our clients is about their guests’ dietary needs. It’s not a box-ticking exercise. It shapes how we design the menu, how our chefs prepare the food, and how our service staff present it on the night.
The goal is simple: every guest should be able to eat freely and confidently, without having to flag down a waiter to ask what’s in every dish.
How We Approach Inclusive Menus for Private Events
Building Menus Around Flexibility
Rather than creating one fixed menu and bolting on a few alternatives, we work the other way around. We start with flexibility built in. Many of the dishes across our seasonal menus are naturally gluten-free, dairy-free or plant-based, not as substitutes, but as genuinely delicious options that hold their own alongside everything else on the table.
This approach means that guests with dietary requirements aren’t singled out or served something that looks obviously “different.” Instead, the whole spread feels cohesive.
Canapé Packages That Work for Everyone
Cocktail-style events (think engagement parties, milestone birthdays or pre-wedding celebrations) are actually one of the easiest formats to make inclusive. With our canapé packages, we offer options ranging from six to twelve canapés per person, with seasonal menus tailored to your event. Because canapés are individually portioned, it’s straightforward to include a balanced mix of vegan, gluten-free and allergen-conscious pieces within the same selection.
For a three-hour engagement party, for example, a twelve-piece canapé package at $67.20 per person allows us to include a generous variety, ensuring that guests with different dietary needs aren’t limited to just one or two options while everyone else has the full range.
Our finger food packages work similarly and offer a slightly more casual feel, which suits relaxed birthday gatherings or housewarming celebrations. A nine-piece finger food package, recommended for a three-hour function, is priced at $41.50 per person and gives us plenty of room to balance the menu across different dietary categories.
One of our event coordinators will always call you after booking to discuss the specific canapé selection from our seasonal menu, so we can fine-tune everything to suit your guest list.

Sit-Down and At-Home Celebrations
For more intimate occasions (anniversary dinners, at-home birthday celebrations or small family gatherings) the approach shifts. Here, it’s about creating a shared dining experience where nobody feels left out of a course.
We work with our clients to design menus where each course offers options that naturally accommodate common dietary needs. A beautifully roasted vegetable dish, for instance, can be the centrepiece for vegan guests and a welcome side for everyone else. A gluten-free dessert can simply be the dessert , no qualifier needed.
Through our online ordering portal, you can explore our full range of catering options, from individual boxes to buffets and boardroom-style menus. For events that fall on weekends or require a more bespoke approach, we’d encourage you to email us directly at catering@blacktruffle.net.au so we can discuss your specific requirements.

Inclusive Menu Ideas by Event Type
Wedding Receptions
Weddings often bring together the widest mix of dietary needs, simply because the guest list spans different generations, cultures and lifestyles. We find that a combination of canapé service during the drinks reception followed by a shared main works beautifully. For the canapé hour, a six-piece canapé package at $38.00 per person gives us enough variety to ensure gluten-free, vegan and nut-free guests are well looked after from the very first bite.
For the main course, working with our chefs to design two or three options — including at least one plant-based and one allergen-friendly dish — means the kitchen isn’t scrambling with individual “special meals.” It’s a more elegant solution, and your guests will appreciate it.
Engagement Parties and Milestone Birthdays
These tend to be cocktail-style affairs, and they’re where canapé and finger food packages really shine. Because you’re not locked into a plated format, it’s much easier to weave dietary-inclusive options through the entire menu. Our service staff are also briefed on every dish, so they can confidently let guests know what’s in each piece as they circulate.
Pairing a finger food or canapé package with one of our beverage packages — which include a full bar set-up with table, ice, glassware and service staff — creates a seamless experience. Our non-alcoholic beverage packages, starting from $11.00 per person for one hour, also ensure that guests who don’t drink alcohol have something more interesting than water.
Anniversary Dinners and Family Gatherings
Smaller, more personal events call for a more tailored touch. We’ve catered anniversary dinners where every guest had a different requirement, and the key is communication. When you book with us, we’ll walk through your guest list’s needs in detail and design a menu that feels personal rather than generic.
For at-home events, we can also provide everything you need beyond the food itself. Our hire equipment and disposables range includes ceramic dinner plates from $4.70 each, stainless steel cutlery at $2.20 per piece, and even tablecloths and trestle tables if you’re setting up a dining space in your garden or living area. It means you don’t have to worry about sourcing plates and glassware that match — we handle the lot.
The Details That Make a Difference
Getting dietary catering right isn’t just about the ingredients. It’s about how the food is presented, how it’s communicated to guests, and how the service team handles questions on the night.
Clear Communication with Service Staff
When we provide onsite staff for your event — which is mandatory for our canapé and beverage packages — every team member is briefed on the full menu, including allergen information. As many of our past clients have noted in their reviews, our waiters remember who has specific requirements and adjust their service accordingly. It’s a small thing, but it makes a real difference to guests who are used to having to advocate for themselves at events.
Presentation That Doesn’t Single Anyone Out
We deliberately avoid the approach of bringing out a separate “special plate” for guests with dietary needs. Where possible, we design menus so that inclusive options are woven into the main spread. This might mean a dessert table where the gluten-free cake sits alongside everything else, or a canapé selection where you genuinely can’t tell which pieces are vegan and which aren’t — because they’re all equally well crafted.
Labelling and Transparency
For buffet-style or grazing setups, we ensure clear labelling so guests can make informed choices without having to ask. It’s a simple step, but it gives people with allergies or intolerances the confidence to serve themselves freely.

Frequently Asked Questions
How far in advance should I book catering for a private event?
We recommend getting in touch as early as possible, particularly for larger celebrations like weddings or milestone birthdays. This gives us time to discuss your menu in detail, arrange any hire equipment you might need, and ensure our event coordinators can dedicate proper attention to your requirements. For smaller gatherings, a few weeks’ notice is usually sufficient, but earlier is always better.
Do you provide service staff for private functions?
Yes — for our canapé packages and beverage packages, onsite service staff are mandatory and will be arranged as part of your booking. For other catering formats, staffing can be discussed with your event coordinator. Our team are experienced in working across all kinds of venues, including private homes and spaces without a commercial kitchen.
Can you cater events on weekends?
Our online portal currently handles orders for Monday to Friday delivery, but we absolutely cater weekend events. Simply email us at catering@blacktruffle.net.au with your event details and we’ll work with you to put everything together. Minimums and surcharges may apply for weekend bookings.
