Privacy Policy

Last updated: 19th October, 2026

The Black Truffle Food Concepts Pty Ltd (ABN 98 146 571 379), trading as Black Truffle Catering (“Black Truffle”, “we”, “us” or “our”), respects your privacy. This policy explains how we collect, use, store and disclose personal information when you visit blacktruffle.net.au, order through our online ordering site at blacktruffle.flexcateringhq.com, enquire about our catering services, or work with us.

We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

1. The personal information we collect

The information we collect depends on how you interact with us. It may include:

  • Contact details, such as your name, email address, phone number, company or organisation, and job title.
  • Account details, such as your login email and order history, if you create an account on our online ordering site.
  • Order and event details, such as delivery and venue addresses, delivery instructions, on-site contacts, event dates, guest numbers and the type of occasion.
  • Dietary and allergy information about you or your guests (see Section 2).
  • Payment and billing details, such as billing addresses, invoicing contacts and payment records. Card details are handled by our payment provider, Fat Zebra (see Section 8).
  • Reviews and competition entries, such as your name and review if you enter one of our promotions.
  • Communications, including emails, messages and notes from phone calls or meetings with us.
  • Website usage information, such as your IP address, browser and device type, pages viewed, how you arrived at our sites and your approximate location.

2. Dietary, allergy and health information

To prepare and serve food safely, we ask you to tell us about dietary requirements, food allergies or intolerances. You can provide these when you place an order on our online ordering site or by email, and we record them against your order.

This is health information and is treated as sensitive information under the Privacy Act. We only collect it with your consent and only use it to plan and deliver your catering safely. It is shared only with the staff and team members involved in preparing, delivering and serving your order or event.

If you give us dietary or allergy information about other people, such as your guests or colleagues, you confirm that they have agreed to you sharing it with us for this purpose.

Our kitchen handles common allergens, so we cannot guarantee any item is free from traces of them. Please see our Terms and Conditions for details.

3. Event photography

We sometimes photograph our food, styling and event setups for use on our website, social media and other marketing. We ask the event organiser for permission before taking photos at an event.

Our photography focuses on the food and the setting, and we take care to avoid showing guests’ faces. Where a guest can be recognised in an image we use, we aim to blur or crop it.

If you’d prefer we didn’t photograph your event, or you or your guests would rather not appear in our marketing, just let us know. If you see an image of yourself in our marketing that you’d like blurred or removed, contact us using the details below and we’ll take care of it.

4. How we collect personal information

We collect personal information:

  • Directly from you, when you complete a form on our website, create an account or place an order on our online ordering site, request a quote, email or call us, or speak with us at an event.
  • Automatically, through cookies and similar technologies when you use our websites (see Section 6).
  • From third parties, such as an event organiser, venue or employer who books catering on your behalf, or a review platform such as Google when you enter one of our promotions.

5. How we use personal information

We use personal information to:

  • respond to enquiries and prepare quotes;

We will not use your personal information for an unrelated purpose without your consent, unless the law allows or requires it.

6. Cookies, analytics and advertising

Our websites use cookies and similar technologies to help them work properly, keep you logged in to your account and understand how visitors use them.

We use Google Analytics and Google Tag Manager to collect information about site usage, such as pages visited, time on site and how visitors found us. This information is used in aggregate to improve our websites and is not used to identify you personally.

7. Marketing communications

If you subscribe to our newsletter or otherwise agree to hear from us, we may send you news, menus and offers. Our newsletter is sent using Mailchimp. We only send marketing messages where you have agreed or where otherwise permitted under the Spam Act 2003 (Cth). Every marketing message includes a simple way to unsubscribe, and you can also contact us at any time to opt out.

If you enter one of our promotions, you agree to your name and review being used for promotional purposes, as set out in the terms of that promotion.

9. Overseas disclosure

Where this happens, we take reasonable steps to ensure those providers handle personal information in a way that is consistent with the Australian Privacy Principles.

10. Storage and security

If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner in line with the Notifiable Data Breaches scheme.

11. Dealing with us anonymously

You can ask to access the personal information we hold about you, or ask us to correct it if it is inaccurate, out of date or incomplete.
